Getting set up

For new investigation cases

If this the first time we have worked together, I hope this page offers some useful info on how we can get set up. This is a rough guide and might depend a little on your local processes/preferences.

  1. Usually we will have a short chat to determine what you need and so I can gather enough information to offer you a quotation.
  2. I’ll send the quotation through to you along with my Terms and Conditions (including my Data Processing Agreement and Schedule of Processing Activities) and the quotation will be valid for 14 calendar days.
  3. If you accept the quotation, I’ll ask you to get me set up on your procurement system and issue a purchase order (PO) before I start working on the case. Usually your procurement team will ask me to complete a new supplier form.
  4. Once the PO is issued I’ll ask you to complete a case handover form and provide me with copies of your relevant policies/regulations.
  5. I will complete a Terms of Reference/scope document for the investigation and you will be able to review this before I begin.
  6. I’ll get to work on the investigation and maintain an investigation log for you whilst it’s ongoing, so you can see the latest activity at any time.
  7. Once the outcome is issued I’ll send over the invoice and payment is due within 30 calendar days. If you’ve asked me to present at a disciplinary panel or advise on an appeal/review case, the investigation invoice will still be payable upon completion of the investigation itself. I will issue a separate invoice for this part of the work if it is required.

Data security

All case documentation is handled through a dedicated Microsoft 365 Business (Enterprise) account. Data is stored in OneDrive with access controlled via role-based permissions and Multi-Factor Authentication throughout. No personal or shared accounts are used for case material.

My Data Processing Agreement (DPA) and Schedule of Processing Activities (SPA) are appended to my Terms and Conditions and are available on request before any commitment is made.
